Meeting Planner

National WIC Association (remote with preference for DC, MD, VA residents)

The National WIC Association (NWA), located in Washington, DC, seeks a full-time Meeting Planner to join its diverse team of nineteen dedicated professionals. NWA is a high-impact non-profit, member organization that represents more than 2,000 service provider agencies that offer quality nutrition education, breastfeeding support, health care, and other social referral services to women and young children in over 10,000 WIC clinics nationwide.  

 

NWA hosts 3-national conferences each year, plus weekly webinars and other in-person and virtual meetings of WIC stakeholders. The Senior Conference and Events Associate will provide project management support to the Conference and Events Director to ensure conferences and events are successful, and that NWA continues to build its reputation for hosting high-quality, innovative, and educational conferences and events. 

 

The successful candidate will have a strong track record of providing excellent customer service; be a tactical implementer who can manage multiple initiatives concurrently; be able to take initiative and work independently as well as be a strong team player; be exceptionally detail-focused and have the ability to stay calm under the pressure.

 

Duties include, but are not limited to:
 

  1. Monitor and respond to all inquiries regarding Conference and Events including emails and voicemails.
     
  2. Manage NWA webinar program logistics to including identifying speakers, sending confirmations, updating the NWA website and webinar platform, managing the webinars, and maintaining a master list of the program.
     
  3. Support the Conference and Events Director by assisting with conference planning and logistics for all virtual conferences. This includes populating the virtual conference website with content such as presentations and promotional material, real-time troubleshooting for speakers and attendees, providing technical assistance and moderating virtual conference sessions.
     
  4. Act as the official registrar for all NWA conferences. Responsible for ensuring the event registration runs smoothly and that payments are received before events begin.
     
  5. Manage the conference abstract process for NWA conferences, which includes providing guidance and technical assistance on the abstract submission process and monitoring the number of abstracts submitted to reach abstract submission goals.
     
  6. Work with the Communications Team on the marketing of all Conferences, providing agenda updates to the Communications Team to market on social media or providing specific conference and webinar logistics to include in promotional materials.

 

Requirements 

  • Bachelor’s degree or 3-5 years’ work experience as a professional meeting planner.
  • CMP or similar certification, or commitment toward achieving certification preferred.
  • Proven, measurable success in the logistical management of large meetings, concurrent functions, networking events, and other events for executive-level groups.
  • Ability to successfully handle multiple priorities, work well under pressure, and adapt quickly to shifting duties and responsibilities.
  • Strong oral communication and interpersonal skills as well as excellent writing and proofreading/editing skills.
  • Strong organizational and time management skills to meet deadlines and follow up with final details, as well as a commitment to detail and accuracy.
  • Ability to work with minimal supervision to produce a high-quality product and successful outcome.
  • Familiarity with SharePoint, Smartsheet, and database management preferred; proficiency with Microsoft Office required
  • Able and willing to travel within North America, approximately 15-20 days per year for conferences and site visits.

 

Salary: $65-70K
